POSITION TITLE: Administrative Assistant and Bookkeeper
GENERAL DEFINITION AND PURPOSE OF WORK:
The Administrative Assistant and Bookkeeper position is responsible for providing office support, clerical, and daily bookkeeping tasks to ensure AMI adheres to best practices and requirements for non-profit business operations and reporting. Confidentiality, efficient time management, excellent organizational skills, and attention to accuracy are essential qualifications for this position, as is the ability to communicate clearly.
DISTINGUISHING FEATURES OF THE POSITION:
The Administrative Assistant and Bookkeeper is a part-time, non-exempt, year-round position, based at the AMI office located on the campus of Augusta Health in Fishersville, VA.
ESSENTIAL FUNCTIONS/ TASKS
• Responsible for essential tasks relating to Accounts Payable and Accounts Receivable as directed by the Executive Director and in accordance with AMI’s accounting policies and procedures.
• Responsible for maintaining the general ledger in QuickBooks.
• Maintain, reconcile, and report on the petty cash fund
• Provide information to the external accountant in a timely manner for production of financial statements.
• Maintain an accurate and organized file system.
• Prepare report data for the Executive Director to ensure timely compliance with local, state, and federal government reporting requirements.
• Provide clerical and administrative support to the Executive Director as requested.
• Check Inventory, order, and purchase office supplies as authorized by the Executive Director.
• Respond to questions and requests for information from grantors, reporting agencies, etc., as directed by the Executive Director.
• Answer incoming calls and other receptionist duties as requested by the Executive Director.
QUALIFICATIONS: KNOWLEDGE, SKILLS, AND ABILITIES
• Bachelor’s degree in accounting or business administration, or equivalent business experience
• Knowledge of nonprofit bookkeeping and generally accepted accounting principles
• QuickBooks and Excel expertise
• A basic understanding of non-profit business operations
• Excellent written and verbal communication skills
• Ability to understand financial data, processes, and procedures
• Perform job responsibilities in an efficient and timely fashion.
• Computer proficiency in Word
• A high degree of attention to detail, accuracy, and organization
• Friendly and customer service oriented
• A valid driver’s license with a good driving record
• Belief in and commitment to building sustainable food systems
REPORTS TO: This position reports to the Executive Director.
COMPENSATION: Salary is commensurate with experience.

OUR PROGRAMS: One of AMI’s primary activities is to operate an 18-month, two-phase Fellowship program. During Phase I (May through October), AMI Farm Fellows live, work, and study at the Allegheny Campus in Highland County, VA. They study sustainable food production, whole foods preparation and preservation, mindfulness, wellness and nutrition, land stewardship and community development, as they train to become ambassadors for healthier food culture. In Phase II from January – December of the following year, AMI Phase II Fellows work in the service of AMI and/or a Partner Organization. The focus of their work is on activities such as: developing and implementing programming at institutional farms, school and community gardens utilizing site-based curriculum, advocating sustainable land use, teaching nutrition and cooking for a healthy lifestyle.
Another program is the Allegheny Mountain Institute Farm at Augusta Health. This innovative farm-to-hospital initiative is a collaboration rooted in the idea that access to excellent health care includes access to healthy food. The Allegheny Mountain Institute Farm at Augusta Health includes production and education gardens and provides sustainably grown, nutrient dense food for the hospital food services. The program also promotes health and wellbeing in the community through workshops and opportunities to learn about nutrition, food preparation, gardening, sustainable agriculture and more. The “Food Farmacy” program provides at-risk patients with prescriptions for fresh produce and classes that support wellness and encourage healthy lifestyles. We are working to provide better access to nutrient dense, fresh local foods, and as a result, build healthier bodies and a stronger, more resilient community.
